Creating an order in Chatmo is a structured process that walks you through each section of the order form -- from selecting a customer to choosing a payment method. Every section is designed to keep things efficient while ensuring no important details are missed.

Starting a New Order
There are two ways to begin creating an order:
From the Orders page:
- Navigate to Orders in the sidebar.
- Click the Create Order button at the top of the page.
- The order creation form opens.
From a conversation (coming soon):
Creating orders directly from a chat conversation is currently in development. In a future update, you'll be able to create orders from the contact detail panel during a conversation, with the customer data pre-filled automatically.
Step-by-Step: Building an Order
Step 1: Client Information
The first section of the form is customer selection.

- Use the searchable customer dropdown to find a customer by name, email, or phone number.
- Select the customer from the search results.
- If the customer doesn't exist yet, click Add New Customer to create one directly from the order form.
Add New Customer modal:
When you click "Add New Customer", a modal form appears with the following fields:
- First Name -- Customer's first name
- Last Name -- Customer's last name
- Email -- Customer's email address
- Phone -- Customer's phone number
After saving, the new customer is automatically selected for the current order.
If the selected customer is missing a phone number or email in their profile, manual input fields will appear so you can fill in the missing data directly within the order form.
Step 2: Products
Add the products the customer wants to order from your catalog.

- Use the searchable product dropdown to find products by name.
- Only products that are Active and in stock appear in the search results.
- Click a product to add it to the order cart.
- Repeat to add more products.
Once products are in the cart:
- Use the + and - buttons to adjust the quantity for each product.
- Click the delete icon to remove a product from the cart.
- The line total for each product is calculated automatically (price multiplied by quantity).
Make sure your product catalog is populated before creating orders. Head to the Products tab in the Orders sidebar to add products with their prices, weights, and stock levels.
Step 3: Shipping Address
Fill in the destination address for the order delivery.

Complete the following fields:
- Recipient Name -- Name of the person receiving the order
- Phone -- Recipient's phone number
- Address Line 1 -- Primary address (street name, house number)
- Address Line 2 -- Secondary address (optional -- building name, floor, etc.)
- City -- Destination city
- Province -- Province or state
- Postal Code -- ZIP or postal code
- Country -- Destination country
Search on Map:
Click the Search on Map button to open a Google Maps modal. You can search for a location, drag the pin, or enter coordinates to pinpoint the exact delivery location. Once you confirm the location, the address fields are populated automatically.
Step 4: Origin Address
Select the origin address (warehouse or store location) for this order's shipment.

- Use the searchable origin address dropdown to select from your configured shop addresses.
- If you have an address marked as Primary, it's automatically pre-selected.
- Choose a different address if the shipment originates from another location.
Origin addresses are managed under the Shop Addresses tab in the Orders sidebar. Make sure you've added at least one origin address before creating orders. See the Shop Addresses guide for details.
Step 5: Shipping Rate
Once both the shipping address and origin address are filled in, the system automatically fetches live shipping rates from the Biteship API.

- Shipping rates are displayed grouped by courier (JNE, J&T, SiCepat, etc.).
- Each option shows the price and estimated delivery time (ETA).
- Select the shipping option the customer prefers.
The selected shipping cost is automatically added to the order total.
Shipping rates are calculated based on the total weight of products, the origin address, and the destination address. Make sure product weights in your catalog are accurate so the quoted rates match reality.
Step 6: Discount
You can apply a discount to the order if needed.

- Select the discount type:
- PERCENTAGE -- A percentage off the subtotal
- FIXED -- A fixed monetary amount off the subtotal
- Enter the discount value based on the selected type.
The discount is automatically reflected in the order summary.
Step 7: Payment Method
Choose how the customer will pay for this order.

There are two categories of payment methods:
XENDIT (Automatic):
If your Xendit integration is active, automatic payment methods are available. The customer receives a payment link and payment confirmation is handled automatically by Xendit.
MANUAL:
Select from the dropdown of manual payment methods you've configured (bank transfer, e-wallet, COD, etc.). For manual payments, you'll need to mark the order as "Paid" manually after receiving payment.
Payment methods are configured under the Payment tab in the Orders sidebar. Add all the payment options your business accepts.
Step 8: Notes
Add optional notes for the order.
This textarea field can be used to record special customer requests, delivery instructions, or any other internal notes relevant to the order.
Step 9: Order Summary
On the right sidebar of the form, you'll see the order summary that updates in real time as you fill in the form:

| Item | Description |
|---|---|
| Items | Number of items in the cart |
| Subtotal | Total product price before shipping and discounts |
| Weight | Total weight of all products |
| Shipping | Selected shipping cost |
| Discount | Discount amount (if any) |
| Total | Final amount the customer needs to pay |
Review this summary before saving. Click Create Order to finalize the order.
What Happens After Creating an Order
Once the order is successfully created:
- The order appears in your order list with Pending status and Unpaid payment status.
- An invoice is automatically generated from the order data.
- If using Xendit, the payment link is immediately active.
- You can open the order detail page to monitor and manage it.
Tips for Efficient Order Creation
- Keep your product catalog up to date. Accurate prices, weights, and stock levels make order creation smooth and error-free.
- Configure your origin addresses. Set a primary address so it's auto-selected every time you create a new order.
- Verify product weights. Accurate weights ensure the shipping rates quoted during order creation reflect actual courier charges.
- Review the summary before saving. Always check the order summary in the right sidebar before clicking Create Order.
