The Recipient List feature lets you upload files containing contact data (CSV or Excel) to use as broadcast targets. This is useful when you have contact lists from external sources that are not yet in the Chatmo database, or when you want to target a specific group from a particular data file.

Why Use Recipient Lists?
In addition to using Segments or All Contacts for broadcast targeting, Recipient Lists offer an alternative approach:
- External contact sources -- Upload contact data from CRMs, spreadsheets, or other systems not yet integrated with Chatmo
- Campaign-specific lists -- Create a recipient list tailored to a single campaign
- Automatic validation -- Chatmo automatically validates phone numbers and flags which ones are valid or invalid
- Additional data columns -- Include extra columns (name, email, etc.) that can be referenced in the recipient detail view
Recipient List Overview
The Recipient List page displays all uploaded files in a table format:
| Column | Description |
|---|---|
| Name & Description | The name assigned during upload along with a brief description |
| Status | File processing status: Completed, Processing, Failed, or Pending |
| Recipients Count | Total recipients, valid count, and invalid count |
| Columns | Number of data columns detected from the file |
| Uploaded | Upload date and file size |
| Actions | Available actions: view details or delete |
Uploading a New Recipient List
To upload a new recipient list, click the Upload button on the Recipient List page. An upload modal will appear.

Fill in the following:
- File -- Select a CSV or Excel file containing your recipient data. Make sure the file has a phone number column.
- Name (required) -- Give this list a descriptive name, such as "Webinar Attendees March 2026" or "Jakarta VIP List".
- Description (optional) -- Add a description for easier identification later.
Click Upload to start the process. Chatmo will process the file, detect columns, and validate each phone number automatically.
Validation runs in the background. For large files, the status will show "Processing" for a while before changing to "Completed". You can leave the page and come back later.
Supported File Formats
- CSV -- Comma-separated values files with column headers in the first row
- Excel (.xlsx, .xls) -- Excel spreadsheets with column headers in the first row
Your file must contain at least one column with phone numbers. Additional columns (name, email, address, etc.) will be detected automatically and are viewable on the detail page.
The recommended phone number format is international format with country code, for example 628123456789 (without plus sign or spaces). Chatmo will attempt to validate various formats, but international format produces the most accurate validation results.
Recipient Detail Page
Click on any recipient list to open its detail page. This page shows comprehensive information about the uploaded list.
Information Header
The top of the page displays:
- Name of the recipient list with a status badge
- Description provided during upload
- Upload date and original file size
Validation Metrics
Four metric cards summarize the validation results:
| Metric | Description |
|---|---|
| Total Recipients | Total number of data rows in the file (excluding the header row) |
| Valid | Number of recipients with valid phone numbers (shown in green) |
| Invalid | Number of recipients with invalid phone numbers (shown in red) |
| Valid Rate | Percentage of valid recipients out of the total, displayed as a progress bar |
Search and Filter
You can narrow down recipient data using:
- Search -- Find recipients by phone number or name
- Filter -- Show all items, valid only, or invalid only
Recipient Data Table
The table displays each recipient's data with the following columns:
| Column | Description |
|---|---|
| Row Number | Sequential row number |
| Phone Number | The recipient's phone number (this column is sticky and remains visible when scrolling horizontally) |
| Name | The recipient's name (if available in the file) |
| Validity Status | A badge indicating valid or invalid, with a tooltip explaining the reason if invalid |
| Dynamic Columns | Additional columns detected from the uploaded file (email, address, etc.) |
The table uses pagination with 10 items per page.

Available Actions
On the recipient detail page, you have several actions:
Delete Invalid Items -- Removes all recipients with invalid status from the list. The button shows the count of invalid items that will be removed, so you know exactly how much data will be affected.
Download Original File -- Downloads the original CSV or Excel file as it was when first uploaded.
Export Valid Items Only -- Exports only the recipients with valid status to a new file. This is useful if you need the validated data in another system.
Deleting invalid items is permanent and cannot be undone. Make sure you have downloaded the original file first if you want to keep the complete data as an archive.
Recipient Validation
Chatmo performs automatic validation on every row of uploaded data. Here is how each validation status is determined:
Valid
A recipient is considered valid when:
- The phone number has a correct format
- The phone number contains a recognized country code
- The phone number has the appropriate digit length for the corresponding country
Invalid
A recipient is marked invalid when:
- The phone number is empty or missing
- The phone number format is not recognized
- The phone number is too short or too long
- The country code is not valid
The tooltip on the invalid badge provides specific information about why validation failed, so you can fix the data in your source file.
Before uploading, review your file and make sure the phone number column is filled in correctly. The cleaner your initial data, the higher the valid rate, and the more effective your broadcast campaign will be.
Using Recipient Lists in a Broadcast
After a recipient list has been processed and has a Completed status, you can use it when creating a broadcast:
- Open the Create Broadcast page
- In the Audience Selection section, choose the Recipient List option
- Select the desired recipient list from the dropdown
- The system will only send to recipients with a valid status
What's Next?
- Create a Broadcast -- Use your recipient list to send a broadcast campaign.
- Broadcast Overview -- Return to the broadcast feature overview.
- Broadcast Templates -- Create message templates for WhatsApp Business broadcasts.
- Import Contacts -- Import contacts into the Chatmo database for long-term use.
