The Contacts module in Chatmo serves as your central customer database β a single place to view, organize, and manage everyone who has interacted with your business, regardless of which messaging channel they used.

Contact List
When you navigate to Contacts from the sidebar, you land on the contact list view. This is a searchable, sortable table displaying all of your contacts with the following columns:
| Column | Description |
|---|---|
| Name | Avatar, contact name, and email address displayed together in one column |
| Phone Number | Full phone number with country code (e.g., +62812345678), or - if unavailable |
| Channels | Icons representing the messaging channels the contact is connected to β WhatsApp, Telegram, Instagram, Facebook, Web Chat, and others |
| Tags | Color-coded tag badges assigned to the contact, or - if none |
| Date | The date the contact was first added, or "Never" if not recorded |
| Actions | Edit (pencil icon) and Delete (trash icon) buttons |
The list updates in real time β when a new customer messages you for the first time, they automatically appear here without any manual entry.
Search, Filter, and Sort
At the top of the contact table, several controls help you find contacts quickly:
- Search β A search field for looking up contacts by name, email, or phone number. Results appear as you type.
- Filter Channel β A dropdown to filter contacts by a specific messaging channel (WhatsApp, Telegram, Instagram, and others).
- Filter Segment β A dropdown to filter contacts by an existing segment.
- Sort β Sorting options include Name A-Z, Name Z-A, Newest, and Oldest.
- Reload β A button to refresh the table data.
Multi-Channel Contact Data
A single customer might message you on WhatsApp today, reach out via Instagram tomorrow, and use your web chat next week. Rather than creating three separate contact records, Chatmo links these interactions to one unified contact profile.
Each contact can have multiple channel identifiers:
| Channel | Identifier |
|---|---|
| Phone number | |
| Instagram username | |
| Facebook Messenger | Facebook profile |
| Telegram | Telegram username or phone |
| Web Chat | Session ID or email (if collected) |
The Channels column in the contact table displays icons for each connected channel, giving you a quick visual overview of where a contact is active.
Channel linking happens automatically when identifiers match (such as the same phone number across WhatsApp and Telegram). You can also manually merge contacts if the system does not detect the connection on its own.
Adding a New Contact
To add a contact manually:
- Open the Contacts page from the sidebar.
- Click the Add New Contact button at the top of the page.
- The "Add New Contact" modal appears with the following fields:
| Field | Description |
|---|---|
| First Name | The contact's first name (required) |
| Last Name | The contact's last name (optional) |
| Email address (optional) | |
| Phone Number | Country code dropdown (defaults to +62) and a phone number input. The number is validated to be between 8 and 15 digits (optional) |
| Segment | A searchable multi-select field for assigning one or more segments (optional) |
| Tags | A text input for tags, separated by commas (optional) |
- Fill in the required and any optional fields.
- Click Save Contact to save, or Cancel to discard.

Make sure the phone number format is correct β select the country code from the dropdown and enter the number without the country prefix. The system validates the number length automatically (8-15 digits).
Editing Contact Information
To update an existing contact's information:
- Navigate to the Contacts page and find the contact you want to edit.
- Click the Edit button (pencil icon) in the Actions column of that contact's row.
- The "Edit Contact" modal appears with the same fields as the add contact modal, pre-filled with the contact's current data.
- Update any fields you need β name, email, phone, segments, or tags.
- Click Save to apply the changes, or Cancel to discard.

Changing a contact's phone number or email may affect how Chatmo matches and links their conversations. Verify that the updated information is correct before saving.
Deleting Contacts
Deleting a Single Contact
To remove a single contact from your database:
- Navigate to the Contacts page and find the contact you want to delete.
- Click the Delete button (trash icon) in the Actions column of that contact's row.
- A confirmation dialog appears, displaying the contact's name and email alongside a trash icon in a red circle.
- Read the warning: "This action cannot be undone. All associated data and conversation history will be permanently removed."
- Click Delete (the red button) to confirm, or Cancel to go back.

Bulk Deleting Contacts
To delete multiple contacts at once:
- In the contact table, check the checkbox next to each contact you want to delete.
- A bulk action panel appears showing "X contact(s) selected" along with action buttons.
- Click the Delete button in the bulk action panel.
- A confirmation dialog appears. To prevent accidental deletion, you must type
delete {number}(replacing{number}with the count of selected contacts) in the confirmation field. - The warning reads: "All conversations and messages will be removed. This cannot be undone."
- After typing the confirmation text correctly, click the delete button to proceed.

Contact deletion is permanent. All associated data β including conversation history and messages β will be removed and cannot be recovered. If you need to retain records for reference, export the data before deleting.
Bulk Actions
When you select one or more contacts using the checkboxes in the table, a bulk action panel appears. The panel shows the number of selected contacts and provides the following buttons:
- Add Segment β Add the selected contacts to one or more segments.
- Delete β Delete all selected contacts (requires typed confirmation).
- Cancel β Deselect all contacts and close the bulk action panel.
